2. What Personal Information We Collect

• Booking enquiries: Name, company name, email address, phone/WhatsApp number, event details, venue information, and any notes you provide.
• Photographer applications: Name, contact details, portfolio URL, social media profiles, professional experience details, and cover note.
• Videography waitlist: Name, email, WhatsApp number, and event details.
• Contact form submissions: Name, email address, and message content.
• Event photography: Photographic images of event attendees captured during booked events.

3. How We Use Your Information

We use personal information for the following purposes:

• To respond to booking enquiries and provide quotations
• To process photographer panel applications
• To manage videography waitlist registrations
• To respond to general enquiries via our contact form
• To deliver edited photo galleries to clients following events
• To maintain records for invoicing and business administration

We do not sell, rent or trade your personal information to third parties.

4. Photography at Events — Consent Framework

At every event we photograph, we implement the following POPIA-compliant consent measures:

• On-site signage: Clearly visible signage at event entrances informing attendees that professional photography is taking place.
• Opt-out register: A physical register is available at every event for attendees who do not wish to be photographed. Our photographers are briefed to respect all opt-out requests.
• Gallery hosting: All photo galleries are hosted on South African-based secure servers.
• Removal requests: Any individual may request removal of their image from a gallery by contacting our Information Officer.

5. How Long We Keep Your Data

• Booking and contact data: Retained for 24 months after the last interaction, then securely deleted.
• Photographer applications: Retained for 12 months from submission date, then securely deleted unless the applicant is accepted onto the panel.
• Event photographs: Client galleries are maintained for the period specified in the service agreement (typically 12 months), after which they are archived or deleted per the client’s instructions.
• Financial records: Retained for 5 years as required by SARS for tax compliance purposes.

6. Your Rights Under POPIA

Under the Protection of Personal Information Act (POPIA) No. 4 of 2013, you have the right to:

• Request access to the personal information we hold about you
• Request correction of inaccurate personal information
• Request deletion of your personal information (subject to legal retention requirements)
• Object to the processing of your personal information
• Lodge a complaint with the Information Regulator (South Africa)
