Expo Stand Photography Checklist: What Exhibitors Should Capture at Nasrec and Gallagher

By Eddie Mtsweni 13 October 2026 6 min read

Short answer

An exhibitor’s expo photography checklist has five parts: the finished stand empty and lit before the show opens; your team in position and in uniform; genuine visitor interaction — demos, conversations and handshakes; product and branding details; and proof of any speaking slot, sponsorship or award. Book the photographer for the first morning before doors open plus a peak-traffic window, and ask for a 24-hour gallery so the sales team can follow up with leads while the show is still on. Coverage from R2,950 excluding VAT.

Trade shows at the Johannesburg Expo Centre in Nasrec, Gallagher Convention Centre in Midrand and the Sandton Convention Centre are among the largest single marketing spends many companies make in a year. The stand build, the staff time, the travel and the giveaways add up quickly. Photography is a small fraction of that cost and it is the only part of the investment that survives the show. This checklist is written for the marketing manager who has to justify the spend afterwards.

1. The empty stand, before doors open

The most valuable frame of the whole show is taken before a single visitor arrives: the completed stand, fully lit, screens on, product in place, no coffee cups, no backpacks under the counter. This is the image the stand builder wants, the image your CEO shows the board and the image that anchors next year’s exhibition proposal. It can only be taken in the 30 to 60 minutes between the final clean and the hall opening, so book the photographer for that window specifically.

  • Wide frontal shot from the aisle, at standing eye level
  • Three-quarter angle showing depth and the side walls
  • Reverse angle from inside the stand looking out to the aisle
  • Detail of the fascia and main branding, sharp and straight
  • Screens showing your content, not a screensaver
  • Neighbouring stands and hall context — useful for placement decisions next year

2. Your team

Photograph the stand team together on the stand at the start of day one, in uniform or branded clothing, before the day makes everyone look tired. Then individual frames of each person at their station — the demo desk, the reception counter, the coffee bar. These are used for internal comms, LinkedIn posts from each team member and recruitment.

3. Visitor interaction

This is the block that proves the stand worked. Ask the photographer to return during your busiest hour — usually mid-morning on day one or two — and to work discreetly for 60 to 90 minutes.

  • Demonstrations in progress, with the visitor clearly engaged and the product visible
  • Conversations at the counter, framed so that both people and your branding are in the shot
  • Handshakes and business-card or badge-scan moments
  • Crowd depth in the aisle in front of your stand
  • Visitors interacting with any activation, game or sampling element
  • Notable visitors — a minister, a major client, an industry figure — with their consent

Visitors at a trade show are members of the public and their images are personal information under POPIA. Display a small notice on the stand stating that photography is taking place for marketing purposes, brief the team to mention it before a posed shot, and respect anyone who declines. Your photographer should know the rules already; ask.

4. Product and branding detail

  • Each hero product on display, clean and lit, from two angles
  • Printed collateral, brochures and giveaways arranged on the counter
  • Sponsor or partner logos on the stand for co-marketing reports
  • QR codes, signage and calls to action as displayed
  • Any award, certification or accreditation displayed on the stand

5. Proof of everything else you paid for

Exhibition packages often include more than the stand: a speaking slot in a theatre, a logo on the show entrance, a sponsored lanyard, a listing in the show guide, an awards entry. Each of those is a line item somebody approved, and each one needs a photograph to close the loop.

  • Your speaker on the theatre stage, with the audience visible and your name on screen
  • Every instance of your logo in the venue — entrance, signage, lanyards, show guide
  • Your team at any networking function or awards ceremony that formed part of the package
  • The stand from the organiser’s official walkway or VIP tour route

Timing and how many hours to book

Day 1 or 2, peak trafficVisitor interaction, aisle depth, demos1.5–2 hours

A two-hour booking covering the pre-open window and a peak-traffic block is the most common exhibitor package and starts from R2,950 excluding VAT. Multi-day shows with a speaking slot and an awards evening are quoted on the schedule. Travel to Nasrec, Gallagher and Sandton is included within 40 km of Sandton CBD. The edited gallery is delivered within 24 hours, which means your sales team can email a photograph of the conversation they had at the stand to the lead who had it, while the show is still running.

The exhibitor’s brief in one paragraph

Send the photographer your stand number and hall, the hall access time on build-up or show day, your busiest expected hour, the names of the stand team, a list of hero products, the sponsor deliverables in your package, and the time and venue of any speaking slot. Name the person who will receive the gallery. That is the whole brief.

FAQ

When should the photographer arrive at the expo?

Before the hall opens on the first show day — typically 45 to 60 minutes before doors — to photograph the finished stand empty and the team fresh. Then return for a peak-traffic window.

Can we photograph visitors on our stand?

Yes, with care. Display a notice that photography is taking place for marketing purposes, ask before posed shots and respect anyone who declines. Images of identifiable visitors are personal information under POPIA.

How much does expo stand photography cost in Johannesburg?

A two-hour exhibitor package covering the pre-open stand shots and a peak-traffic window starts from R2,950 excluding VAT. Multi-day coverage and speaking slots are quoted on the schedule.

Do you cover Nasrec, Gallagher and Sandton Convention Centre?

Yes. All three venues are within our standard Gauteng service area and travel is included within 40 km of Sandton CBD.
